Build an output review rubric during your AI workshop

Participants need a way to explain why a draft is acceptable before they use it at work. A review rubric makes that decision visible. This exercise asks learners to compare a fictional source pack with an output, identify specific defects and decide what requires correction or further checking.

Prepare the source pack and intended use

Choose a small fictional task such as drafting an internal notice about a training room change. Provide the original notice, the revised room details and the intended audience. State where the finished message would be used and who normally approves it. Give everyone the same source pack so their decisions can be compared. Do not use private workplace material merely to make the exercise feel realistic. The facilitator should retain an answer sheet showing the intended facts and constraints.

Write criteria before showing the draft

Ask participants what they would need to check before sending the notice. Turn their answers into observable criteria: the room matches the source, the date is present, the audience is correct and the message contains no invented access instructions. Separate factual requirements from preferences about tone. Agree which defects prevent use and which can be edited without changing meaning. Avoid a single overall score that lets attractive formatting compensate for a wrong instruction.

Require evidence for each assessment

Give learners a prepared draft containing a mixture of correct details and deliberate errors. Ask them to mark each criterion as met, not met or unresolved and point to the relevant source. A statement that sounds plausible is still unresolved when the pack does not support it. Require a short explanation for each blocking issue. This makes the exercise assess the review process rather than the confidence of the person presenting their opinion.

Compare decisions before revealing the answer

Have participants review independently, then compare their assessments in pairs. Where they disagree, ask which part of the brief or source would settle the issue. Do not decide by majority vote alone. The facilitator can clarify an ambiguous criterion and let both learners reassess the output. Keep uncertainty visible when the supplied evidence cannot resolve it. The point is to practise a defensible review decision, including a decision to ask the task owner for missing information.

Practise with a fictional room-change notice

In a fictional exercise, Cedar Office moves a workshop from Room Two to Room Four but keeps the original starting time. The draft changes both the room and the time, then adds an unsupported parking instruction. Learners identify the two blocking defects and preserve the correct room change. They explain what source supports each correction. The facilitator then offers a revised draft with a missing audience label to check that learners review the complete output again.

Finish with an explicit use decision

Ask each learner to record whether the revised draft is ready, needs correction or requires an owner decision. Keep the rubric beside the final version and name any outstanding check. Discuss how the criteria would change for another task rather than presenting this sheet as universal approval. A completed workshop exercise shows how someone approached this example. It does not establish that they can approve every workplace output or replace the review responsibilities their organisation already assigns.

Before you run the exercise

  • The fictional source pack and intended use are clear.
  • Blocking factual requirements are separate from style preferences.
  • Each assessment points to evidence or identifies an unresolved question.
  • The learner records a use decision and any remaining owner check.
